Purpose
This Privacy Policy is designed to comply with applicable privacy legislation in Canada and British Columbia.  It is also designed to help individuals understand how their personal information is managed at Insights Learning & Development Vancouver Ltd. (Insights Vancouver)

Scope
Those individuals protected by this Privacy Policy include customers and prospective customers. This Privacy Policy applies to information collected during the course of commercial activities.

Exceptions
If the policies and procedures outlined in this document do not address a specific situation, individuals are expected to contact Insights Vancouver’s Director of Operations for guidance or clarification.

The Principles
Our Privacy Policy is designed to comply with applicable privacy legislation in Canada and British Columbia. It incorporates the following 8 principles:

  6. Accuracy of Personal Information
  7. Safeguarding Personal Information
  8. Access to Personal Information

If we change our Privacy Policy in the future, those changes will be included in updates to our official Privacy Policy, wherever it is made available.

Identifying Purpose
Generally, Insights Vancouver collects personal information to provide requested services and manage and develop the Insights Vancouver’s business.  It collects some or all of the following personal information from individuals during the course of normal commercial activities: name, business title, organization, gender, general contact information and levels of interest for our services and topics.

This information is used to:

  • Enable Insights Vancouver to tailor the presentation of our services to better meet the needs of clients and potential clients.
  • Inform individuals about Insights Vancouver products and services that we believe may be of interest to them.
  • Better understand an individual’s interests in our products and services.
  • Develop, enhance or improve products and services.
  • Provide individuals with requested services.

Consent
An individual’s knowledge and consent are required before Insights Vancouver is allowed to collect or use his or her personal information for requested services.  By subscribing to our services, registering for a seminar, presentation or access to our on-line assessment services, using other Insights Vancouver member services, or otherwise indicating approval, individuals consent to the collection and use of their personal information for the purposes identified in this Privacy Policy.

Insights Vancouver will not require you to consent to the collection, use or disclosure of personal information beyond that required to provide our products or services to you.

Limiting Collection
Insights Vancouver collects only the information that is necessary for the purposes outlined in this Privacy Policy.

Limiting Use, Disclosure and Retention
Insights Vancouver does not use personal information for purposes other than those for which it was collected, except with an individual’s consent or as required by law. Once personal information is no longer required to fulfill the identified purposes or other legal requirements, it will be destroyed, deleted or made anonymous.

Accuracy of Personal Information

Personal information is kept as accurate, complete and up to date as necessary for the purposes for which it is to be used.

Safeguarding Personal Information
Protecting the privacy and confidentiality of personal information has always been fundamental to the way we do business and is the responsibility of every employee of Insights Vancouver.  Our employees who have access to personal information are made aware of our policies and trained on how to keep it confidential.

We have security standards to protect our systems and personal information against unauthorized access and use.  Personal information, whatever its form, will be protected by security safeguards appropriate to the sensitivity of the information. The safeguards will protect personal information against loss or theft, as well as unauthorized access, disclosure, copying, use or modification. The measures of protection include:

  • physical measures, for example, locking filing cabinets and restricted access to offices;
  • organizational measures, for example, security passes and limiting access to the personal information on a “need-to-know” basis;
  • technological measures, for example, the use of passwords and encryption; and
  • procedural measures, for example, the shredding of sensitive personal information.

In addition to the general safeguards above, Insights Vancouver further protects our systems and information through the following measures:

  • Only authorized users have access to sensitive information.
  • Access is protected by password security.
  • Firewalls are in place to protect information from unauthorized access.
  • Where access to sensitive data has been authorized, use of such data is limited to the purpose required to perform Insights Vancouver business.
  • Authorized users respect the confidentiality and privacy of individuals whose records they access, observe ethical restrictions that apply to the information they access, and abide by applicable laws and policies with respect to accessing, using, or disclosing information.
  • Authorized users must not leave sensitive information unattended and accessible.
  • Insights Vancouver stores all confidential and personal information on a server located on their secured and monitored premises in Coquitlam.
  • The server is regularly scanned for vulnerabilities, patched, and backed-up.
  • All computers are consistently updated with the latest anti-virus software to prevent unauthorized access or corruption.
  • The storage area for the server is physically secure and environmentally controlled, to protect the records from unauthorized access and damage or loss from temperature fluctuations, pests, and other hazards.

Access to Personal Information
Individuals may request a copy of their personal information held at Insights Vancouver by submitting a written request to Insights Vancouver. Acceptable proof of identification is required before such information is given out.
